The Register provides information on registered social workers and registered social service workers. In this easy-to-use tool, you will find information regarding a member’s registration status, discipline history, if any, and their employer contact information.

Additionally, the Register contains information on Professional Corporations that have been issued a Certificate of Authorization by the College. You will find the corporate address, contact details and the directors and shareholders for these corporations.

Frequently Asked Questions

What is the Public Register?

The Social Work and Social Service Work Act, 1998 (the “Act”) requires that the College maintain a Register of members and that the Register be available to the public. The Register contains information required under the Act and the College’s bylaws. This is one of the ways that the College fulfills its mandate of public protection. To have the Register accessible online is consistent with the practices of other regulatory bodies in Ontario and across Canada, and with the College’s goal of being innovative and transparent.

Is the Online Register new?

The public Register has been in existence since the College’s inception in 2000; however, the Online Register was launched July 3rd, 2013. Prior to the launch of the Online Register, a request for a copy of the Register pertaining to a member was required in writing (mail, fax or email). Responses to requests were sent by mail or by fax. In 2012 alone there were over 5000 requests. The Online Register will mean it is easier to access information in the Register. It will also mean greater efficiencies for both the public and the College.

What kind of information is found on the Register?

The Register includes the following information about social workers and social service workers in Ontario:

  • Name
  • Registration Number
  • Previous Name(s) (if known to the College)
  • Name of Business or Employer
  • Business Address
  • Business Phone Number
  • Class of Certificate of Registration
  • Terms, Conditions and Limitations
  • Notations (e.g. suspension, cancellation or revocation of a member’s certificate of registration)
  • Other information in accordance with the College’s bylaws.

The Register also includes information about professional corporations.

Do other regulatory bodies in Ontario have online registers?

Yes. A Register accessible online is consistent with the practices of other regulatory bodies in Ontario and across Canada.

Will the social worker I’m seeing know that I looked at her information on the Register?

No. Although the College keeps track of the number of searches done, neither the College nor its members know the identity of the person doing a search.

If there is a notation that a member’s certificate was suspended, does that mean it is for a disciplinary reason?

No, not necessarily. A certificate of registration may be suspended for administrative or disciplinary reasons: The Registrar may suspend the certificate of registration of a member of the College for failure to pay a fee or penalty prescribed by the bylaws, failure to provide information required by the College’s bylaws or failure to comply with the College’s Continuing Competence Program. This is considered an administrative suspension. A member’s certificate of registration may also be suspended if the Discipline Committee, after a hearing, finds a member guilty of professional misconduct or to be incompetent. If this is the case, the finding and results of the hearing of the Discipline Committee will typically appear on the Register, in accordance with the Committee’s direction, as will the notation of the suspension.

How often is the Online Register updated?

The Online Register is updated shortly after a change is made by a member to My Profile. The Online Register is also updated when an update is made to a file in the database by a staff member; for example, when an applicant is issued a certificate of registration or when a member’s registration status changes. The College endeavours to update the Register within a reasonable time period; however, there may be a delay when updating information.

My name has changed. How do I advise the College?

If you change your name, you must advise the College of both your former name(s) and your new name(s) in writing and include a copy of the change of name certificate or marriage certificate for our records. This must be done within 30 days of the effective date of the change.

The information may be sent by fax to 416-972-1512 or by mail to the College office address to the attention of the Membership Department. Please be aware that the name that is in the Register must be the name that you are using in the course of practising the profession. It is essential that you advise the College of a name change, as it is an act of professional misconduct to use a name in the course of practising the profession other than the name set out in the Register.

I resigned years ago. How long will this information remain on the Online Register?

When a member’s resignation is effective, a notation of cancellation will appear on the Register. The information will remain on the Register indefinitely.

Glossary of Terms

Class of Certificate of Registration

The Registration Regulation made under the Social Work and Social Service Work Act, 1998 (the “Act”) prescribes two classes of certificate of registration for social work and two classes of certificate of registration for social service work: general and provisional. The majority of certificates issued are general. Members who hold provisional certificates were required to apply for membership on or before November 21st, 2002, demonstrate their experience performing the role of a social worker or social service worker and meet other conditions set out in the Registration Regulation. Members who hold provisional certificates of registration have all the privileges and responsibilities as members who hold general certificates of registration.

Terms, Conditions and Limitations

The Registrar may issue a certificate of registration to an applicant, with terms, conditions and limitations. The Registration Appeals Committee may direct the Registrar to issue a certificate of registration to an applicant, with terms, conditions and limitations. After a hearing, the Discipline Committee may find a member guilty of professional misconduct or to be incompetent and direct the Registrar to impose specified terms, conditions and limitations on the certificate of registration held by the member. After a hearing, the Fitness to Practise Committee may find a member to be incapacitated and direct the Registrar to impose specified terms, conditions and limitations on the certificate of registration held by the member. The terms, conditions and limitations are noted in the Register.

Notations

Cancelled: A certificate of registration may be cancelled for one of a number of reasons: When a member resigns his or her membership with the College and the Registrar accepts the resignation, the Registrar cancels his or her certificate of registration. A member’s certificate of registration may be cancelled if the terms, conditions and limitations on his or her certificate of registration set out an expiry date and the certificate has expired. If the College is notified that a member of the College is deceased, the Registrar cancels the deceased member’s certificate of registration.

Inactive: A member who holds a certificate of registration, is not in default of any obligation to the College and is not the subject of any disciplinary proceeding, may apply to the College to become an inactive member. An inactive member may not engage in social work or social service work practice nor use the titles or designations reserved for members of the College, unless the title or designation is immediately followed by “inactive” in English or “inactif” in French.

Reinstated: A person whose certificate of registration has been suspended may have the suspension removed. In the case of a suspension for administrative reasons, the person must meet certain specific conditions in order to have the suspension removed. In the case of a suspension for disciplinary reasons or reasons of incapacity, the suspension may be removed in accordance with an order of the Discipline Committee or an order of the Fitness to Practise Committee, as the case may be. The removal of a suspension is referred to as a certificate of registration being reinstated.

Reissued: A person who applies for and is issued a certificate of registration after the person resigned from membership or his or her certificate of registration was cancelled is said to have his or her certificate of registration reissued.

Revoked: A member’s certificate of registration may be revoked if the Discipline Committee, after a hearing, finds a member guilty of professional misconduct or to be incompetent and directs the Registrar to revoke the certificate of registration. A member’s certificate of registration may also be revoked if the Fitness to Practise Committee, after a hearing, finds a member to be incapacitated and directs the Registrar to revoke the certificate of registration. The revocation will be noted on the Register. The finding and results of the hearing of the Discipline Committee will typically appear on the Register, in accordance with the Committee’s direction.

Revocation (administrative): The Registrar may also revoke the certificate of registration of a person whose certificate of registration has been suspended for non-payment of fees, failure to provide information required by the College’s bylaws or non-compliance with the College’s Continuing Competence Program, if the suspension remains in effect for greater than two years. A person whose certificate of registration is revoked may not use the reserved titles nor hold himself or herself out to be a social worker or social service worker.

Suspended: A certificate of registration may be suspended for administrative reasons, disciplinary reasons or reasons of incapacity. The Registrar may suspend the certificate of registration of a member of the College for failure to pay a fee or penalty prescribed by the bylaws, failure to provide information required by the College’s bylaws or failure to comply with the College’s Continuing Competence Program. This is considered an administrative suspension.

A member’s certificate of registration may also be suspended if the Discipline Committee, after a hearing, finds a member guilty of professional misconduct or to be incompetent. A member’s certificate of registration may also be suspended if the Fitness to Practise Committee, after a hearing, finds that the member is incapacitated.   • The College is the only organization that is authorized by law to maintain a Register of Ontario registered social workers and Ontario registered social service workers.
  • The College is the only organization that can provide current, accurate and reliable information from the College’s Register.
  • The College’s Register information is time-sensitive in that information on the Register regarding a member or former member may change from time to time.
  • No one should rely on lists and other information provided by a person other than the College which purports to be information from the College’s Register (because the information may not be accurate or current at the time it is provided by such person).

Terms of Use

The Ontario College of Social Workers and Social Service Workers (OCSWSSW) is the regulatory body that governs social workers and social service workers in Ontario under the Social Work and Social Service Work Act, 1998, (the “Act”) regulations passed under the Act and College bylaws.

The Social Work and Social Service Work Act, 1998, has mandated that the OCSWSSW have a Register containing information required under that Act and the bylaws, and that the Register be available to the public. The purpose of the Register is to help the public identify that a person is a social worker or social service worker registered with the OCSWSSW, and determine the person’s registration status, discipline history, if any, and their employer contact information. This information is not designed nor is it intended to be used for any other purpose, including marketing or research.

The OCSWSSW endeavours to update its Register within a reasonable time period, however, there may be a delay when updating information. The contact information for each member is provided by the member and is not verified by the OCSWSSW.
