Registrants can update most of their personal, business and academic information through their profile on the Online Portal.
To update personal and business information, log into the Online Portal and navigate to the “Profile” page. To update academic information, log into the Online Portal and navigate to the “My Academic History” page.
Note: If a registrant changes employers or moves, they are legally required to update their online profile or notify the College within 30 days.

Updating personal and business information
It is extremely important for registrants to have an active email address on file with the College, as all regulatory updates and communications are sent by email. Your preferred email address (personal or business) on file is the one you must use to access your online profile.
Registrants can update the following information by logging into the Online Portal and clicking on the “Profile” tab:
- Personal information: home address, home or mobile phone number and personal email
- Business phone number and extension, fax number and business email
To add a new home address, navigate to My Address History under the “Profile” tab and click on “Create New.”
Updating Employment Information
The College is required to make the current business name and business address of registrants available to the public on the Online Register. If disclosure of your business address or business telephone number may jeopardize your safety, email info@ocswssw.org.
Navigate to My Employment History and click on “Create New” to update the following business information:
- Name of employer
- Position title
- Start date and end date, if applicable
- Type of setting/organization
- Primary employment function
Name changes
If a registrant has legally changed their name, they must request a name change in the Online Portal or inform the College by sending an email to info@ocswssw.org and include the following information:
- former name(s)
- new name(s)
- a copy of an official government document that shows your new name(s) (e.g. a change of name certificate, marriage certificate or divorce decree)
Former name(s), new name(s) and the name used in practice will be posted on the Online Register. If publication of your previous name(s) may jeopardize your safety, please include this information in your request.
If a registrant uses a nickname or shortform first name when practising, they must update the “Name Used in Practice” field on the Profile page in the Online Portal or advise the College.
Send a request by email to info@ocswssw.org and include the nickname or shortform first name you want to add to your profile. Legal first names will not be replaced, but the nickname or shortform first name will be added in parentheses to ensure that service users can find you on the Online Register. For example: Margaret (Maggie) Jones.
Updating academic information
Registrants who have obtained an additional academic qualification since their initial registration or last renewal can submit a request to update their academic information through the Online Portal. This can be done either during the annual renewal process or any time throughout the year.
- To submit a request when renewing: Navigate to the “Verify Information” section and click “Yes” under “I would like to add a new academic qualification that is not shown above”. Add the details of the new academic credential(s) and submit the request.
- To submit a request throughout the year: Navigate to “My Academic History” under the “profile name” section. Click on “Create New,” add the details of the credential and submit the request.
Official Transcripts Required
The College will approve the request and update a registrant’s file only if an official transcript is received directly from the academic institution.
The transcript must confirm the award of the qualification or credential. Typically, this includes details like:
- Type of qualification or credential (e.g.: bachelor’s, master’s or doctorate)
- Program or field of study
- Conferral date or graduation date
The official transcript can be sent by the academic institution directly to the College by email to info@ocswssw.org, through third-party platforms such as MyCreds™ or Parchment or by mail to the address below:

Once the College has received and verified the official transcript, we will update your file with the new credential. Registrants can track the status of the request under the “My Academic History” tab. If the “Transcript Verification Date” field displays a date, this means that staff have completed the verification process of the transcript.
Correction or Modification of Academic Information on File
If the academic information on file requires a correction, contact the College’s Registrant and Renewals Department at info@ocswssw.org. Indicate which academic details need to be corrected or modified.
The College will review the transcript on file to ensure that the academic details to be corrected match the official transcript.
